Privacy Policy
In plain words: our public website does not track you. Our client portal keeps only what we need to share proposals with our clients, get agreements signed and send invoices. We never sell your information, and we never see your card or bank details.
Who we are
Dalmatian Consulting LLC ("we", "us") is a Michigan company at 133 Orlando Ave, Holland, MI 49423. This policy covers our website at dalmatianconsult.com, our client portal at dalmatianconsult.com/portal, and the QuickBooks connection our portal uses. Our public website
- No tracking. We do not use analytics, advertising pixels or tracking cookies on the website.
- Your language choice (English or Spanish) is saved in your own browser so the site remembers it. It is not sent to us.
- The contact form opens your own email app with your message filled in. The website does not store or send what you type; we only receive it if you send the email.
- Fonts load from Google Fonts, which receives your IP address and browser details as part of loading them.
- Hosting. The site runs on Cloudflare, which processes standard request information (such as IP address and browser type) to deliver the site and protect it from attacks.
Our client portal
The portal is only for clients we invite. When we create your account and you use it, we keep:
- your name, email address and preferred language;
- a one-way, salted hash of your password (never the password itself);
- when you sign in, view a proposal or approve it;
- when you approve a proposal: the name you type, the options you choose, the time, your IP address, a short description of your browser, and a fingerprint of the exact proposal version you approved, so there is a clear record of what was agreed;
- a sign-in cookie (
dcp_session) that keeps you signed in for up to 7 days. It is strictly necessary for the portal to work and is not used for tracking; - counts of failed sign-in attempts by IP address and email, used only to block password guessing and deleted automatically after 15 minutes.
Signing your agreement
Agreements are signed through Dalmatian Ink, a document signing service we run ourselves. It keeps the agreement, the names and email addresses of the signers, their signatures and dates, and a signing history (including times and IP addresses) so the signed agreement can be verified later.
Invoices and payments through QuickBooks
When you sign, the portal creates your deposit invoice in Dalmatian Consulting's own QuickBooks Online company, using your name, email address and the amount due, and shows you its secure payment link. Here is exactly how that connection works:
- The portal connects to one QuickBooks company only: Dalmatian Consulting's. It refuses and disconnects any other company.
- It creates and reads the customers, service items, invoices and payments it needs for our own invoices, reads our company name to confirm it is connected to the right company, and checks the balance of invoices it created so it can show you when your deposit is received.
- You pay on Intuit's secure pages. Your card or bank details go to Intuit, not to us, and we never see or store them. Intuit handles that information under its own privacy statement.
- QuickBooks access keys are stored encrypted, are used only by the portal, and can be disconnected by us at any time.
- We do not sell, share or use QuickBooks data for anything other than invoicing our own clients and keeping our books.
How we use information
We use it to give you access to your proposals, prepare and sign agreements, invoice you and record payments, keep the portal secure, answer your questions, and keep the business and tax records the law requires. We do not sell or rent personal information, and we do not use it for advertising.
Who we share it with
Only the service providers that run these features for us, and only as needed: Cloudflare (website and portal hosting and storage), Intuit QuickBooks (invoices and payments), Microsoft 365 (our email) and Google Fonts (website fonts). We may also disclose information if the law requires it, or to protect our rights in a dispute.
How long we keep it
We keep account, proposal, agreement and invoice records while you are our client and afterwards for as long as we need them for the agreement and for tax and accounting records. Sign-in cookies end after 7 days and failed sign-in counts after 15 minutes. When records are no longer needed, we delete them.
Security
Every page and connection uses encryption (HTTPS). Passwords are stored only as salted hashes, QuickBooks access keys are encrypted, repeated failed sign-ins are blocked, and each client can see only their own proposals. No system is perfectly secure, but we work to keep yours safe and will tell you promptly if a problem affects your information.
Your choices
You can ask us to show you, correct or delete the information we hold about you, or to close your portal account, by writing to [email protected]. We will delete what we are not required to keep and tell you what we must keep and why.
Children
Our website and portal are for businesses and adults. They are not directed to children under 13, and we do not knowingly collect their information.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date, and tell portal users about important changes by email.
